5. Fees and Payments
The fee schedule published at wapay.ai/pricing forms part of these Terms and is the controlling statement of our current rates. The structure is:
- Platform fee — Pay by Bank: a percentage of each successful payment, charged on a sliding scale that decreases as your monthly Pay-by-Bank volume grows. Every payment also carries a €0.50 charge that covers the bank rail, added to the percentage rather than absorbed by it, and the two together are capped at €10 per payment. The percentage component is additionally capped at €250 per calendar month; once that cap is reached, only the €0.50 per-payment minimum continues to apply. Current percentages for each volume band are set out in the schedule linked above.
- Platform fee — Cards: a percentage of each successful payment, capped at €10 per payment, per the schedule linked above.
- Stripe processing fee (card payments): passed through at cost (1.5%–3.25% + €0.25, depending on card type)
- How fees are collected: on card payments, fees are deducted from the payment before it reaches your bank account. On Pay by Bank, the full payment reaches your account and we collect the WaPay fee weekly by SEPA Direct Debit.
- Fees are only applied when an invoice is successfully paid — never before. If your customer does not pay, no fee is charged.
- There are no monthly fees, setup costs, or minimum commitments
- Fees may change with 30 days' notice via email or WhatsApp
6. Invoices and Payments
- You are responsible for the accuracy and legality of invoices you create
- WaPay generates VAT-compliant invoices based on the information you provide
- Card payments are acquired by Stripe, a regulated payment institution. Funds settle to your own account with Stripe and are paid out by Stripe to your bank.
- Bank transfers (Pay by Bank) are initiated by Yapily, a regulated payment initiation service provider. Funds move directly from your customer's bank to your account.
- WaPay is not a regulated financial institution and does not hold, control or transmit funds at any point — it is never in the payment chain. Our full regulatory position is set out in the compliance statement.
- Refunds on card payments must be handled through Stripe's dashboard. Pay-by-Bank payments move directly between bank accounts and are not reversible through WaPay, so any refund is a transfer you make to your customer yourself.
7. WhatsApp Messaging
- WaPay sends messages on your behalf to your customers via WhatsApp
- Automated payment reminders are sent for overdue invoices (up to 3 reminders over 21 days)
- Customers can opt out of reminders by replying STOP at any time
- You must not use WaPay to send spam, unsolicited marketing, or illegal content
- You are responsible for having a legitimate business relationship with your customers
- Customer consent: By sending an invoice or payment request via WaPay, you confirm that your customer has agreed to receive payment-related messages via WhatsApp. WaPay records consent on your behalf but you are responsible for obtaining it.
- WaPay is not a debt collection service. Payment reminders are transactional notifications related to specific invoices you have issued.
- All messaging is subject to WhatsApp's Business Policy. Violations may result in suspension of your WaPay account.
8. Prohibited Uses
You may not use WaPay for:
- Illegal activities or fraud
- Selling prohibited goods or services (as defined by WhatsApp's Commerce Policy and Stripe's Prohibited Businesses list)
- Harassment, spam, or unsolicited messaging
- Impersonating another business or individual
- Attempting to reverse-engineer, hack, or compromise the Service
