VAT invoicing software, by voice note or web form
Invoicing software for small businesses and sole traders. Say the job into WhatsApp or fill in a form in the web app, and WaPay writes the invoice, works out the VAT and sends it to your customer with a way to pay.
Invoices without the evening paperwork
Most invoicing tools expect you to sit at a desk. WaPay works where you already are. Send a voice note or a short text to your WaPay number on WhatsApp, or open the web app in any browser. Both create the same invoice, in the same records.
Every invoice is numbered in sequence, carries your business details and logo, and shows the VAT the way an accountant expects to see it. It goes to your customer on WhatsApp as a PDF with a payment link, and it is filed the moment it is sent.
Create an invoice on WhatsApp or in the web app
Pick whichever suits the moment. A voice note between jobs, or the full form at your desk with line items and attachments.
- Open your WaPay chat. Tap Menu → Quick Payment for a one-line invoice, or Detailed Invoice for line items.
- Say it or type it, e.g. “Charge Linda Tolan €480 for a new kitchen tap installation”.
- WaPay reads it back with the VAT split worked out. Check it and send.
- Your customer gets the invoice PDF and a payment link on WhatsApp. You're told when they pay.
The amount you give is the total the customer pays, VAT included.
- Open Invoices and tap + Create Invoice.
- Choose the customer, then add line items: description, quantity and price.
- Pick a VAT rate for each line, add attachments if you need them, and create the invoice.
- Send it. The customer gets it on WhatsApp with the payment link, and it appears in your invoice list with its status.

Invoicing questions
Are WaPay invoices VAT compliant?
Yes. Invoices are numbered in sequence and show your business details, your VAT number, the VAT rate and amount on each line, and the totals. VAT is only charged once your VAT number is saved; without one, invoices go out at 0%.
Do I need WhatsApp to create invoices?
No. Everything can be done in the web app from any browser. WhatsApp is the fastest way when you're away from a desk, and both create the same invoices.
How do customers pay my invoice?
Each invoice carries a payment link for Pay by Bank, card, Apple Pay or Google Pay once your payments are set up. Where online payments aren't available, the invoice shows your bank details instead, and you mark it paid when the money arrives.
What does it cost to send invoices?
Sending invoices is free, with no subscription. You only pay a small fee when a customer pays online. See pricing.
Can my accountant get the figures?
Yes. Invoice lists and the VAT report export to CSV from the web app, ready for your accountant or your bookkeeping software.
